Provides for and facilitates the smooth operation of the office through keeping records, scheduling, handling inquiries, preparation of correspondence and other writing tasks as well as performing special assignments as required
This position functions in an area in which two things are of pertinent importance accuracy and confidentiality
Job Responsibilities
Administrative:Perform administrative and secretarial duties and assist the executiveHandling / distributing incoming /outgoing faxes / mails, and making sure that it reaches the proper hands
Make travel arrangements for the executive and other office staff attending trainings abroad (domestic and international)
Includes booking of hotels and other means of transportation
Set up and maintain office files and keep correspondence and reports available for reference and efficient operations of the office
Prepare letters, a portion or all of which may be composed or compiled on the basis of personal knowledge of the subject matter
Arrangement:Arrange for and schedule appointments for the executive, including interviewing callers and making proper referrals, prepare material and make arrangement for meeting as required
Arrange meetings and conferences
Includes Preparation of conference room
Reporting:Study reports received, check and compare with previous reports or other data, and bring to attention of the executive significant items, changes, errors or omissions
Performing basic research and preparing reports and recommendations
